Camper Application: Billing Information

Learn how to collect billing info on the camper app

After you've collected all the demographic and session info, next you will collect payment information.

Billing Information

  1. You'll first be presented with the choice Disable the Billing Page completely.

    If you do not use Campminder financials (e.g., you run a free camp), you may choose to hide this page from the application. If you take this action you won't be able to invoice or submit payments through Campminder.

  2. Add headers: with previous sections, the first choice is to add any of the separate headers for 'billing information', 'billing', and 'payment' header messages.

  3. Choose invoice preferences: If you want to allow parents to choose whether they'd prefer to receive an invoice by mail, email or both, make sure you check the box next to ''Show field'' on Number 1. If you wish to make the choice for them, uncheck the box and choose the default with the radio buttons on the right.

  4. If you process Credit Cards through Campminder, you will want to select the 'Credit Cards you accept for payments and deposits' on the Camper Application.

    Note: You'll need to make sure each of these card types is enabled in your database. Contact your Client Success Manager if you're unsure, and we can set you up for credit card processing.

  5. If you do not wish to collect a deposit, check the Disable Deposit Payment Method section.

  6. If you do wish to collect a deposit, you'll see a header message where you can include important information. Additionally, you can select the deposit payment methods you allow.

    💡Tip: It's standard practice to collect a deposit payment method, which may or may not be the same as how the parents intend to pay for the balance. Usually, the deposit is due at the time of enrollment, then the balance is paid later, in in installments or in a lump sum.

    Many camps choose to require an electronic deposit, and thus only select electronic payment methods here. It's entirely up to you. Electronic payments are certainly easier to manage... no chasing after check payments. This might be an important consideration if you are an auto-enroll camp. You can make that choice in Camper Setup > Season Settings.

    Note: this Billing page is where parents see an initial statement of the options they've selected. The deposit amount comes from the price you've input in the Pricing Table (in Admin > Financial Admin) for the sessions(s) the parent has selected.

  7. If you want to allow parents to Pay in Full for their entire balance when submitting the application, you can select the Show field option here. You may also require that the parent Pay in Full upon submission.

  8. I selected, choose the accepted methods you offer for Pay in Full.

  9. If you wish to include the billing preference method label (check, credit card, eCheck), you'll do so here.

    Note: the default Billing Preferences that appear on the online application are created through Admin > Financial Admin > (Season) > Billing Preferences

  10. If you wish to hide the ledger completely from this page, select the hide button. This will show them the total amount due, but not each individual item in their statement.

    💡Tip: this option generally not recommended, as its a helpful for selection reviews to show during the enrollment process.

  11. If you choose to Disable Credit Card Entry, do so in this next selection box. checking this box means parents could indicate they're paying by credit card, but not be allowed to enter one on the application. Example: you might use this option if you intend to call parents to collect the credit card number over the phone.

    Note: You may also customize text for the application if you disable this option, telling parents that this is not an option for them.

  12. You can choose to hide the Due Now option, which is the deposit amount parents are required to pay upon submission (if they've not selected the Pay in Full option). We would not recommend checking this box if you're using auto-enroll and electronic payment methods. Parents would generally want to know how much they're going to owe.


Managing Household Credit Balances

Families can use existing credits to reduce tuition and fees, but by default, deposits and registration fees must still be paid upfront. You can adjust your Camper Application settings to let credit balances cover these fees automatically.

  1. In the Billing section (item #13), you’ll see two options:

    • Reduce Deposit Amount by Household Credit Balance: Applies existing credit to the deposit amount.

    • Reduce Registration Fee by Household Credit Balance: Applies credit to the seasonal registration fee, if your organization charges one.

    💡Tip: If you require both a deposit and a registration fee, enabling both options helps streamline the process and gives families a clearer picture of what they owe.

  2. After making your selections, click Save Changes to apply the updates.

FAQs:

  1. What happens to families who aren’t required to pay a deposit or registration fee if this setting is enabled?

    They’ll still move to the appropriate status—applied, enrolled, or waitlisted—based on your system settings, just like any other camper.

  2. What types of credits can be used to reduce the deposit or registration fee?

    Any credit line item tied to a person or family will be applied.

  3. Do these settings apply when I manually enroll someone?

    Yes. These settings apply whether a camper is manually enrolled, added through batch session edits, or enrolled via an online application.

  4. What if we enable the registration fee checkbox but don’t actually charge a registration fee?
    No problem! If the box is checked but no registration fee is set up, families can still register without issue.

  5. Can I use these settings in the Adult and Family Application?
    Yes. You can enable the same options by going to CampInTouch > Forms > Adult/Family Application Settings.
