Financial Admin: Pricing Identifier Definitions

Learn how to set up identifiers to give parents member vs. non-member pricing

Pricing identifiers create different price option "paths" in your camper application.

With identifiers, parents see different prices based on what you set in the pricing table. You can assign specific prices for each session or program in this table.

Example: Day camps might charge different transportation fees based on where a camper lives. You can also use this feature to set different rates for in-state vs. out-of-state campers, or to apply tiered pricing for financial aid.

Define Pricing Identifiers

  1. Navigate to Admin > Financial Admin. From the Definitions menu in the upper right corner, select Pricing Identifiers.

  2. Click the green Define New button.

  3. Enter a label for your identifiers, like "Membership Level" or "Are you a Resident?"

    Note: You can only have one label.

  4. Click the green Save Label button.

  5. Enter the identifier(s) name and add a description if you’d like.

  6. Use the radio buttons to mark the identifier as Active or Inactive (usually Active).

  7. Click Save if you're done, or Save + Add Another to keep adding more.


Edit Pricing Identifiers

  1. Navigate to Admin > Financial Admin. From the Definitions menu in the upper right corner, select Pricing Identifiers.

  2. Click the yellow "Edit" button on the line of the Pricing Identifier you wish to modify.

  3. Enter your changes and click the green "Save" button.


Pricing Identifier Considerations

Pricing identifiers aren’t meant to be changed after a camper is enrolled. Doing so can cause issues with how charges appear in the ledger.

However, if a change is necessary, follow these steps to do it correctly:

  1. Cancel the camper from all enrolled sessions. This removes any charges tied to the original pricing identifier.

  2. Submit a new application with the correct pricing identifier. A parent—or you—can submit the new application. The updated identifier will automatically apply the correct pricing to the new enrollment.

  3. Check the ledger to confirm the correct charges are now listed.
