Financial Admin: Discounts

Learn how to setup and organize various discounts for your season.

Financial Administration includes four commonly used discounts for your convenience: Sibling, Multiple Sessions, Promotional Codes, and Pay in Full.

Discount Rounding Types

Campminder lets you round discount totals to whole numbers, making billing simpler.

When setting up non-seasonal line items, you can enable rounding and choose from four options:

  • Round Half Up – Rounds .50 and above up (e.g., $25.50 → $26).

  • Banker’s Rounding – Rounds to the nearest even number (e.g., $122.50 → $122, $123.50 → $124).

  • Always Round Up – Any remainder rounds up (e.g., $25.01 → $26).

  • Always Round Down – Any remainder rounds down (e.g., $25.99 → $25).

Choose the method that best fits your camp’s needs!


Sibling Discounts

If your camp offers sibling discounts, you must configure the Sibling Discount settings.

  1. Navigate to Admin > Financial Admin. Select a Season and the "Discounts" tab.

  2. Under the "Sibling" heading, click on the gear icon in the upper right.

  3. Select whether siblings will each receive "a unique" discount or "the same" using the dropdown menu.

  4. If you select "the Same", you can restrict which sessions count towards required enrollments for Sibling Discounts to apply.

  5. Check the box for ā€œOffer Discount Only if Min. # of Sessions Metā€ to require a minimum number of sessions from your restricted list before the discount applies.

  6. Enable ā€œAllow Different Discount for New vs. Returningā€ to apply separate discounts based on sibling status (e.g., new vs. returning campers).

  7. Select the rule you would like Campminder to apply from the "Determined Sibling Order" dropdown.

  8. If you select "Camper Charges," a second dropdown lets you choose which Financial Categories to include. Select categories based on how you define "camper charges," and be sure to include Tuition.

    Example: If you select Camper Charges (highest to lowest), Sibling 1 will be the camper with the most charges accrued, even if she is the third camper in her family to apply.

  9. You can restrict which sessions count towards required enrollments for Sibling Discounts to apply. For multiple selections, hold down the Command/Control key on your keyboard and click each item.

  10. Check the box for ā€œOffer Discount Only if Min. # of Sessions Metā€ to require a minimum number of sessions for the Sibling Discount. Enter the required number in the text box.

  11. Click the green "Set" button. Once you have established these settings, click on the lower gear icon (settings) that appears in the Sibling column.

  12. Check the box if the discount requires a code, and then enter the code in the text box provided. This is a way to further restrict sibling codes to only a select group.

  13. You can also enter an optional expiration date. After this date, the discount is no longer valid. ​Click the green "Set" button.

  14. In the Sibling column, use the dropdown to select a sibling Line Item credit. Only Line Items with the "Sibling" Financial Type activated for the season will appear, and these can't be manually applied to records.

    • The numbers next to each dropdown menu line correspond to the sibling number (1st sibling is first camper in a family. So if mom applies Bobby and then adds an application for Sally, Sally is the second sibling. It's most common to have "None" in the 1st sibling slot)

    • Use the blue Add Sibling button to add increasing numbers of siblings and define their applicable sibling Line Item discount.

    • Check the box ā€œApply to all subsequent siblingsā€ to apply the last defined discount to all additional siblings.

    Example: If you define sibling discounts through the third sibling and then check the ā€œApply to all subsequent siblingsā€ box, any additional siblings added after the third will receive the same discount as applied to the third sibling.

  15. Click the green "Save" button at the bottom of the Sibling column to commit your definitions and settings to the system. You might see this message when you first try to save your sibling discount:

    Note: Sibling discounts are not retroactive. They only apply to attendees who fill out your camper app after you set these rules. This is important to remember.


Multiple Session Discounts

To offer discounts for enrolling in multiple sessions, configure the Multiple Sessions Discount settings.

Note: These discounts do not apply to adult/family applications.

  1. Click the upper gear icon for settings in the top right corner of the Multiple Sessions column.

  2. Use the radio buttons to select whether your camp will count multiple sessions by total enrollment per family or camper.

    Example: If you set a multi-session discount by camper for three sessions, one camper must apply for three sessions to get the discount. If you set it by family, the discount applies if the family collectively applies for three sessions, regardless of how they are distributed among campers.

  3. Click the green "Set" button.

  4. To manage the Discount Groups, click on the lower gear icon in the Multiple Sessions column.

    • Create a name for the Discount Group.

    • Use the dropdown menus to select a minimum and maximum number of sessions required for discount eligibility.

    • From the session menu, select which ones qualify towards Multiple Session Discounts. For multiple selections, hold down the Command/Control key on your keyboard and click each item.

    • Set an optional expiration date for the Discount Group. After this date, the discount can no longer be used.

    • If the Discount Group requires a code, check the box ā€œDiscount Requires Codeā€ and enter the code in the text box provided.

    • Click the green Set button.

  5. Once your Discount Group is defined, use the dropdown menus in the Multiple Sessions column to select the appropriate multi-session Line Item credits that you would like to apply. These Line Items are based on the Line Items you’ve activated for the season.

    Note: Only Line Items that you’ve assigned the Financial Type ā€œMultiple Sessionā€ will display in the menu for selection. The numbers next to each dropdown menu line correspond to number of sessions chosen.

  6. Click the green "Save" button to commit these settings.

Promotional Codes

Campminder allows you to add promotional codes for applicants. These codes work like the coupon codes you use online to get discounts from retail sites.

Pay In Full Discount

A "Pay in Full" discount is a great way to encourage families to pay their full balance at enrollment, helping expedite cash flow.

  1. Navigate to the current season and click the "Line Items" tab on the left-hand menu, then select the Credits tab.

  2. Locate the "Pay in Full" credit line item in the list.

  3. Check the box next to this item to activate it for the selected season.

  4. Enter the discount amount ($ or %).

  5. Set an optional "Effective Date" to control when a line item transaction appears in the ledger. Think of it as the date you want the record to reflect that the transaction took place.

    Note: Effective Dates can be useful for accrual-based accounting.

  6. Click Save in the bottom-right corner to save your changes.


Understanding Discounts and Promotional codes

Changing a system discount in a record is challenging because once entered, the system treats it as permanent for the season.

If you remove a system discount in a record and then edit the ledger, the system will automatically reapply the original code.

Note: Applicants can only enter ONE promo code per attendee on the application.

System discounts

  • Discounts (like sibling, multi-session, or promo codes) recalculate whenever a family’s ledger is updated.

Why This Matters

  • Families can update their ledgers (e.g., adding spending money), so changes may happen without your knowledge.

  • If a discount is applied and a session is canceled, the system recalculates to ensure the discount is accurate.

  • Example: you’d want the calculator to recalculate the ledger if someone was getting a 5% off promo code and then cancels a session.

Promo Code Expirations

  • The expiration date is the last day a promo code can be applied per season.

  • Once applied, the discount will still work for eligible line items added later, even after the expiration date. This is because the ledger is continually recalculating.

This keeps discounts accurate and ensures families only receive what they qualify for.
