Financial Admin: Assign and Use Billing Groups

By the end of this article, you'll be able to assign families to billing groups and use those groups to filter batch invoices and inquiries.

Billing groups let you segment families into categories — like "International" and "Domestic," or any grouping that reflects how your camp distributes invoices.

Once families are assigned, you can use their group as a filter when sending batch invoices or reviewing financial status. Families never see their billing group assignment; it's internal only.

Before you start, make sure you've already defined your billing groups in Admin > Financial Admin > Definitions > Billing Groups. You can't assign a family to a group that doesn't exist yet.

Assign to an Individual Family

  1. Navigate to the family's record and click the Financial tab in the lower navigation.

  2. Select the Billing tab on the left.

  3. Click the yellow Edit Billing Info button in the upper right.

  4. In the popup window, locate the Billing Group dropdown in the right-hand column.

  5. Select the appropriate group.

  6. Click Save.

📋 Note: Billing group assignment is made at the family level, not per individual person or camper on the account.


🎯 Try it now: Pull up any family record in your system, navigate to their Financial > Billing tab, and confirm the Billing Group field is visible. Come back when you've found it.


Assign in Bulk via User Reports

If you need to assign billing groups to many families at once, use the User Reports field changer.

  1. Navigate to Reporting > User Reports > Camper.

  2. Set your Selection Criteria on the first tab to target the families you want to assign.

  3. On the Fields/Sort tab, add F1 Billing Category as one of your fields.

    📋 Note: The field is labeled "Category" here, not "Group" — a small but easy-to-miss difference.

  4. Proceed to the Options/Finish tab and generate the report.

  5. In the results, find the F1Billing Category column and click Edit at the top of it.

  6. Choose your edit method:

    • Edit Inline — assign a billing group to each family individually within the report

    • Find and Replace — swap all families currently assigned to one group into another

    • Replace All — assign every family on the report to the same billing group

  7. Apply your changes and save.

💡 Tip: The "F1Billing Category" field can also be added to browse lists, other user reports, and communications as a selection or filter criteria — useful for targeted emails or reports scoped to a specific billing group.

Use Billing Groups When Invoicing

Once families are assigned, you can use billing groups to send invoices to one group at a time.

  1. Navigate to Financial > Billing in the upper navigation.

  2. In the billing setup, locate the Billing Group dropdown.

  3. Select the group you want to invoice in this batch.

  4. Proceed with your billing run as normal.

This is particularly useful when different groups receive different invoice instructions — for example, if international families receive paper invoices with different payment details than domestic families.


Run a Batch Inquiry by Billing Group

To review the financial status of all families in a specific billing group:

  1. Navigate to Financial > Inquiry.

  2. Filter by Billing Group to see every family assigned to that group.

  3. Review their current ledger summaries.
