Configure Grade Labels, Lead Sources, and Mailing Settings

By the end of this article, you'll be able to configure grade labels, lead sources, and mailing settings — the behind-the-scenes defaults that keep your data clean and your communications consistent.

These three settings are small but consequential. They shape how Campminder labels grades on applications and reports, how you track where families and staff come from, and how your emails and mailings address people.

Most camps set these once and rarely touch them again. Do it now, before enrollment opens.

Set Up Grade Labels

Campminder uses a default grade list from Infant through 12+. For most camps, this works as-is. If your camp uses different terminology, you can rename individual grades here.

Note: Grades should reflect schooling levels—not internal camp groups or divisions. Using this field incorrectly can confuse families and cause messy data.

  1. Navigate to Admin > Camper Setup > Grade Labels.

  2. Click into any grade field and rename it to match your terminology (for example, change "Pre-K" to "Junior Kindergarten").

  3. Click Save Changes.

📋 Note: Grade labels reflect schooling levels — not your internal camp groups or divisions. Using them for internal groupings will create confusing data on applications and reports.

💡 Tip: If you're unsure whether to adjust grade labels, reach out to Support. Most camps can use the default list without changes.


🎯 Try it now: Go to Admin > Camper Setup > Grade Labels and confirm the default list matches your camp's terminology. Rename any grades that don't fit, then save.


Set Up Lead Sources

Lead sources let you track how families and staff first hear about your camp — useful data for marketing without cluttering your forms.

For camper applications:

  1. Navigate to Admin > Camper Setup > Lead Sources.

  2. Click the green Add to List button.

  3. Choose a Category (like "Internet") and enter an Item Name (like "ACA Website"). You can also create a custom category.

  4. Optionally, check Requires Memo if you want families to provide more detail (for example, who referred them), or check For Office Use Only to hide the source from families.

  5. Click Save.

📋 Note: Only one lead source can be assigned per family. Keep your list focused — too many options leads to inconsistent data.

For staff applications:

  1. Navigate to Admin > Staff Setup > Staff Application Settings.

  2. In the Definitions section, click the gray Lead Sources button.

  3. Click Define New, enter the source name, and choose whether it requires a memo.

  4. Click Save or Save + Add to continue.

💡 Tip: Make the lead source question required on both camper and staff applications so you don't miss valuable data.


🎯 Try it now: Go to Admin > Camper Setup > Lead Sources and add at least two lead sources your camp actually uses. Then do the same for staff under Admin > Staff Setup > Staff Application Settings.


Configure Mailing Settings

These settings control how Campminder addresses families on emails and printed mail — a small detail that affects every communication you send.

  1. Navigate to Admin > Camper Setup > Mailing Settings.

  2. Choose whether to hide the country on domestic mailings.

  3. Set your default formats for mailing titles and email greetings (formal or casual).

  4. Set a default email stationery if you use more than one template.

📋 Note: If you'd like to set up multiple email stationery templates, contact Campminder Support to get them configured. The default you set here can always be overridden on individual emails.


🎯 Try it now: Go to Admin > Camper Setup > Mailing Settings and confirm your greeting format and stationery default match how you want families addressed.


Tips & Examples

💡 Tip: These three settings live in different corners of the admin menu, but they're all worth reviewing together during initial setup. Skipping them now means cleaning up messy data later.

💡 Tip: Lead source categories are flexible — you can add your own. Just keep the total list manageable so staff actually use it consistently.
