Grade Labels, Lead Sources, & Mailing Settings

These three setup options—grade labels, lead sources, and mailing settings—help you tailor Campminder to your camp’s needs. While you may not need to change them often, they’re worth reviewing to ensure clear communication and clean data.

Grade Labels

Campminder includes a default grade list from Infant to 12+, which works for most camps. But if your camp uses different terminology (for example, "Junior Kindergarten" instead of "Pre-K"), you can make adjustments.

Note: Grades should reflect schooling levels—not internal camp groups or divisions. Using this field incorrectly can confuse families and cause messy data.

To adjust grade labels:

  1. Navigate to Admin > Camper Setup > Grade Labels

  2. Click into a grade field to rename it (i.e., change “Pre-K” to “Junior Kindergarten”)

  3. Click Save Changes.

Changes automatically update across session setup, camper applications, forms, reports, and more.

💡Tip: If you’re unsure whether to adjust grade labels, reach out to our Support Team. Most organizations can use the default list.


Lead Sources

Lead sources help you track how families and staff hear about your camp—an easy way to inform marketing efforts without overwhelming your forms.

For Camper Applications:

  1. Navigate to Admin > Camper Setup > Lead Sources

  2. Click the green Add to List button.

  3. Choose a Category (like "Internet") and an Item Name (like "ACA Website"). You can also add your own category to the list.

  4. Optional:

    • Select Requires Memo if you want more detail (e.g., who referred them)

    • Select For Office Use Only to hide it from families

    Note: Lead sources show up on camper records, and you can edit them at any time. Keep in mind, only one lead source can be assigned per family.

For Staff Applications:

  1. Navigate to Admin > Staff Setup > Staff Application Settings

  2. In the Definitions section, click the gray Lead Sources button

  3. Click Define New, enter the source name, and choose whether it requires a memo.

  4. Click Save or Save + Add to continue

💡Tip: Make the lead source question required so you don’t miss valuable data!


Mailing Settings

These settings determine how Campminder addresses families on emails and printed mail—either more formal or casual.

  1. Navigate to to Admin > Camper Setup > Mailing Settings

  2. Decide if you want to hide the country on domestic mail.

  3. Choose your default formats for mailing titles and email greetings.

  4. Set a default email stationery if you use more than one template.

Note: If you would like to set up one or more email stationeries to choose from when sending emails from within Campminder please contact us. The option you choose below will be the default when creating an email, but can always be changed on an individual email if necessary.
