Program Protector offers a travel protection plan through your online camper application. It safeguards a parent's investment in camp and can also protect your organization from potential revenue loss caused by unexpected cancellations
How it Works
Parents have the option to purchase Program Protector during their child’s enrollment. After enrollment, they’ll automatically receive a confirmation email with a link to the plan documents.
If a cancellation occurs, parents submit claims directly to Tripmate, our Program Protector partner, who handles the process—so you can stay focused on running camp.
Note: Participation is optional for both camps and parents: you choose whether to offer the program, and parents choose whether to elect coverage on the Camper Application.

Register for Program Protector
To begin, you’ll need to complete an initial registration form.
Navigate to CampInTouch > Setup > Program Protector. Complete the form, the information supplied will be transmitted to TripMate.
Once this form has been submitted and approved, your Client Success Manager will turn on Program Protector behind the scenes, and then alert you that it is now available in your Campminder system.
After being enrolled by our team, you can enable it for your Camper Application by navigating to CampInTouch > Forms > Camper Application Settings.
Under Terms & Conditions, the Insurance Types Available setting lets you choose to offer the Standard plan, the Enhanced plan, or both. Each plan provides different coverage at different rates.
Standard Plan, covering cases where the child becomes sick or otherwise can’t attend camp because of a covered reason.
Enhanced Plan, which offers “Cancellation for Any Reason.” As an example, this plan would allow a parent to withdraw their child from camp over fears of the virus, and get some of their registration fees covered.
If tuition cost is above $500:
The Standard Plan will cost them 5% of their fees, and protects their purchase for a variety of qualifying reasons.
The Enhanced Plan is offered at 7.5% of their fees, and offers the same benefits as the standard plan, but also includes a “Cancel For Any Reason” stipulation. This additional benefit will ensure their purchase is protected regardless of the reason they need to cancel.
If tuition cost is below $500:
The Standard Plan will cost them $25, and protects their purchase for a variety of qualifying reasons.
The Enhanced Plan is offered at $40, and offers the same benefits as the standard plan, but also includes a “Cancel For Any Reason” stipulation. This additional benefit will ensure their purchase is protected regardless of the reason they need to cancel.
The Parent Experience
Now that you’ve decided to offer Program Protector to parents, let’s take a look at the changes they’ll see to the Camper Application.
The majority of the Camper Application remains the same, but the Terms and Conditions page has been updated. Depending on your selections, parents will see choices for a standard or enhanced Program Protector plan, with the appropriate price for each.
Each choice outlines its coverage, with additional information available by clicking the "full details" link. When a plan is selected, the user will be asked to input a credit card. It’s worth noting that they’ll need to input this card separately from the card they use to pay for camp - while the card could be the same, they’ll need to enter it twice - once to pay for Program Protector, and once to pay for their tuition or deposit. Note that if they do not choose either of the options, they’ll check a box to state that they do not want Program Protector.
So you can see the fees in the screenshot above, but how are they calculated?
Whether the parent selects the Standard or the Enhanced Program Protector, the formula is the same - we’ll take the new charges assessed during this application, subtract any new discounts that were given, and add in any adjustments. These adjustments would only exist if this was an updated application for a camper, or a new sibling being registered in this family. This formula equals the insurable amount ($900 in our example above), which is then multiplied by the standard or enhanced percentage to arrive at the final price.
The full price is then shown to parents on the webpage. The fee will be charged upon their enrollment - whether your camp takes advantage of immediate auto enrollments, or manually enrolls campers after an application is submitted, the parents' request for Program Protector will be transmitted to TripMate when the camper is marked as enrolled.
You'll see that Program Protector was selected on this application during the Session Edit Enrollment Process. Its election is included in the Application Details found in the lower-left corner of the page as you're enrolling a camper.
If, when viewing Session > Edit, the Program Protection is listed as "requested," it means the insurance order has not been completed. "Processed" orders are complete.

Parent Submission: The parent submits their order for Program Protector.
Campminder Action: Campminder marks the camper as having purchased Program Protector in their record.
Notification to Tripmate: After enrolling the camper, Campminder alerts Tripmate.
Tripmate Contacts Parents: Tripmate reaches out to the parents with essential information about Program Protector.
In Case of Claim:
The parent contacts Tripmate if they need to use the Program Protector plan.
Tripmate then contacts your organization to confirm the claim.
Claim Process Instructions: Instructions for contacting Tripmate and filing a claim are emailed to the parent upon enrollment.
First, the parent submits their order. Next, Campminder will mark this camper as having purchased Program Protector within their record. We’ll alert Tripmate in step 2b once the camper has been enrolled. They’ll reach out to the parents with important information about Program Protector, and hopefully, the cycle will end there. However, if the parent does need to use their Program Protector plan, they’ll contact Tripmate directly, who will then contact you to confirm their claim. Instructions for contacting Tripmate and filing a claim can be found in materials emailed to the parent from Tripmate upon enrollment.
Note: cancellation must be two (2) days or more before the session begins. Program Protector is only available to campers residing in the United States. And the Enhanced Plan is NOT available to families residing in New York.
Note: Trip cancellation due to fear or World Health Organization and Travel Advisories are generally not covered under any travel protection plan unless "Cancel For Any Reason" coverage is purchased. If parents want to keep their children home in an abundance of caution, Standard coverage will not reimburse registration fees.
