The Itemized Capacity feature allows for you to set custom capacities for sessions and programs based on gender and grade/age. Itemized capacity can be used on top of basic capacity (as an override), or it can be used on its own.
Video Tutorial: Itemized Capacity
Itemized Capacity In Sessions and Programs
Navigate to Admin > Camper Setup > Season Settings. Select the session group in which you would like to enable Itemized Capacity.
Open session details by clicking the gray arrow to the left of the session name.
Click the blue Settings button under “Itemized Capacity.”
Use the radio button at the top to select “Grade Based” or “Age Based” depending on your capacity needs.
Note: Itemized Capacity must be set to the same type (Grade/Age) as your system settings, otherwise the Itemized Capacity settings will not work as intended.
Choose whether or not “Gender affects Capacity” - doing so doubles your options in the window below.
Current total session/program enrollment numbers are located in the upper right corner for your reference.
Click the yellow “Add Range” button to add the grade/age range for which you would like to specify a capacity.
Note: grade/age ranges CANNOT overlap.
If you want to view the campers currently counting toward capacity for a certain range, click the plus button below it.
After adding the range, select the capacity settings:
Default: leaves capacity set to what is defined on the Settings tab for the Session Group. "Default" essentially means obey what is set under the Settings tab.
Mark as Full: displays the session as full for any camper that falls in the range, and will hide on the application, add applicant to the Waitlist OR mark them as Applied (depending on your choice on the Settings tab for the session group) This is the feature to use if you are trying to OVERRIDE capacity set elsewhere.
Capacity: allows you to set a custom capacity number for this specific range. (This is typically what will be utilized if you are using the Itemized Capacity feature independent of other capacity types) This feature is for those using Itemized Capacity as a standalone indicator of capacity. This is NOT to be used with other types of capacity.
After you have defined you capacities for this session, click the green “Set” button in the lower right corner of the popup and then click "Save" on your Season Admin page to save the settings.
After you have determined which factors affect capacity (age/grade and gender), making changes to these will reset all existing itemized capacity ranges for the session or program.
If you select “Gender Affects Capacity” your defined ranges will require settings for both male and female campers.
Override
Navigate to the Settings tab and scroll to the "Waitlist Override" box.
Checking this box allows you to manually waitlist a camper without triggering the system to auto-waitlist all applicants after that.
Note: if this box is not checked, then once you manually waitlist someone, all subsequent applications will be waitlisted. The system assumes you're telling it that you've decided that session is full, so it takes over.
Note: if you have separate capacities per gender, and one gender fills up, and the other gender is set to "default", then the non-full gender will also start to auto-waitlist, unless you check this override box.
